The short version

Canvas Sports is software that local sports organizations use to run registration, teams, schedules, and game day. When a family registers, that information belongs to the organization— the league, parks department, or club you signed up with. Canvas stores and processes it on the organization's behalf. We do not sell personal information, we do not run ads, and we do not use registration data for anything except operating the product.

What we collect

From families: guardian name and contact details, player name and birth year, emergency contact, any medical notes you choose to share, answers to questions the organization adds to its registration form, and payment records. From staff: name, email, and role. Automatically: basic technical logs (such as errors) needed to keep the service working. We do not collect precise location, and we do not track you across other websites.

Children's information

Player profiles describe minors, so we treat them with extra care. Registration is completed by a parent or guardian — children do not create accounts. A player's medical and emergency information is visible only to their organization's authorized staff (for example, their coach), never on any public page. Public schedules and results show team names and, where an organization enables it, player first names with last initials — never contact, medical, or family information.

Payments

Card payments are processed by Stripe. Card numbers never touch Canvas servers. Payments go directly to your organization's own Stripe account — the organization is the merchant of record, and its name is what appears on your statement. Canvas Sports is developed by Williams Digital, so any platform fees billed to organizationsmay appear on the organization's statement as Williams Digital.

Where data lives and who sees it

Data is stored with Supabase (database and file storage) in the United States, and the website is served by Vercel. Transactional email is delivered by Resend. These providers process data only to provide their services to us. Within Canvas, access follows roles: organization staff see their own organization; families see their own household; platform support access is read-only, excludes medical information, and is recorded in an audit log.

Retention and deletion

Organizations control their data and can correct or remove it from their dashboard. To have your family's information corrected or deleted, contact your organization first — or email us and we will coordinate with them. When an organization leaves Canvas, its data is exported to it and then deleted on its written instruction.
